Every month someone has to turn a sheet of Excel numbers into a presentation that management will actually read. That presentation is the monthly MIS report. Done well, it takes ten minutes to review and ends with decisions. Done badly, it is 40 slides of tables that nobody opens.
This guide gives you a proven slide-by-slide format for a monthly MIS report in PowerPoint, the rules that make the numbers readable, and a way to build it from your Excel file without redrawing every chart by hand.
What is a monthly MIS report?
MIS stands for Management Information System. A monthly MIS report is a short pack that shows management how the business performed in the last month against its target and budget, what went wrong and what happens next. In most Indian companies it covers sales, costs, receivables, cash, operations and people.
What management wants from it
Three things, in this order:
- Where are we against target? Revenue and profit first, in one glance.
- What explains the gap? Which region, product, customer or cost line moved the number.
- What do you need from us? Decisions, approvals and support, stated plainly.
If a slide does not help with one of these, it belongs in an appendix.
The slide-by-slide format
This 15-slide core works for most companies. Use only the slides that apply to you.
| Slide | What it shows | Tip |
|---|---|---|
| Month at a glance | 4 to 6 headline numbers: revenue, margin, expenses, cash, orders | Show each against target with a green or red marker |
| Executive summary | The month in four or five plain sentences | Write it last, after the numbers are final |
| Revenue against target | Actual versus target, month by month | Use a column chart with the target as a line |
| Revenue by region | Which regions beat or missed target | Sort from best to worst |
| Product mix | Share of revenue by product or category | Flag the one product that moved most |
| Top 10 customers | Biggest accounts and their share of revenue | Mention concentration risk if one customer is large |
| Expenses against budget | Spend by head versus budget | Show variance in ₹ and in % |
| Receivables and cash flow | Money owed to you, collections, cash position | Add debtor days and a trend |
| Operations KPIs | Output, on-time delivery, quality or utilisation | Pick the 4 KPIs that drive your business |
| People | Headcount, joiners, leavers, attrition | Keep to one slide |
| Scorecard | All key KPIs in one table with status colours | The slide managers screenshot and forward |
| Issues and risks | What is off track and what you are doing about it | One owner and one date per issue |
| Last month’s action items | Done, in progress, overdue | Honest status builds trust |
| Plan for next month | Targets and priorities | Same measures as the actuals, so comparison is easy |
| Support needed from management | Specific decisions or approvals | End here, not on “Thank you” |
Rules that make MIS numbers readable
- One message per slide. Make the title a sentence: “Revenue is 8% below target, driven by the West region”, not “Revenue”.
- Always show the comparison. A number alone means nothing. Put the target, last month or last year next to it.
- Use one unit throughout. Pick ₹ lakh or ₹ crore for the whole pack and say so in the footer.
- Use colour for meaning only. Green for on or above target, red for below, grey for everything else.
- Show the variance, not just the actual. The gap is what people discuss.
- Charts over tables. Keep the detailed table for the appendix.
Build it from your Excel file in minutes
The slow part of an MIS report is not thinking, it is rebuilding the same charts every month. Two tools on Bundle Slide remove that work, and both run inside your browser so your numbers are never uploaded:
- Report Maker turns a monthly sales or purchase Excel sheet into an editable PowerPoint MIS deck: KPI scorecard, target versus achievement, and vendor-, warehouse- and category-wise views. You can preview the whole report free and download the first 3 slides free; any SmartSearch pass unlocks the full report.
- Chart Maker turns any table into a native PowerPoint chart, free, with no sign-up. It understands lakh and crore formats.
If you prefer a finished, designed pack to type your numbers into, the Monthly MIS Review PPT template has 20 animated slides covering everything in the table above, with charts linked to Excel (right-click, Edit Data). For single slides, browse the KPI dashboard PPT templates.
Common mistakes
- Sending the Excel file pasted as pictures. Use real charts so numbers can be corrected.
- Changing the format every month, so nobody can compare. Keep the same slides and add only when needed.
- Hiding bad news on slide 14. Put the gap and the reason up front.
- Explaining what, not why. “Sales fell” is a number; “Two large dealers delayed orders to next month” is information.
- Ending without an ask. If you need a decision, say what and by when.

Frequently asked questions
How many slides should a monthly MIS report have? Most are 12 to 20 slides. Management should be able to get the full picture from the first three, with the rest as supporting detail.
Should an MIS report be in PowerPoint or Excel? Keep Excel as the data source and use PowerPoint for the review meeting. People read slides in minutes; they rarely open a 10-sheet workbook.
What is the difference between an MIS report and a MIS review? In practice the words are used together. The report is the pack; the review is the meeting where you walk through it.
Can I automate the monthly MIS report? Partly. If your data sits in a consistent Excel layout, you can upload each new month’s sheet to Report Maker and get the same deck again, so you only add your comments.
